Getting Started

What can TrainWise help providers with?

TrainWise supports NDIS providers with registration, registration renewal, audit readiness, operational compliance and hands-on training. Aged Care Registration is a separate support pathway, and TrainWise Courses provide self-directed learning through the course platform.

Do you support both new and existing providers?

Yes. Support can start before registration, during an audit or renewal cycle, or later when an existing provider wants to strengthen systems, evidence, governance or team understanding.

Can TrainWise review work that has already been completed?

Yes, where it fits the agreed scope. If you already have policies, application material or compliance systems in place, TrainWise can review what exists, identify practical gaps and focus on what actually needs attention rather than automatically starting again.

Is TrainWise the regulator or the organisation that conducts my audit?

No. NDIS registration decisions are made by the NDIS Quality and Safeguards Commission and NDIS quality audits are completed by approved quality auditors. Aged care registration is administered by the Aged Care Quality and Safety Commission. TrainWise provides preparation, support, training and compliance guidance, not regulatory approval or independent certification.

NDIS Registration

Questions providers commonly ask before or during the NDIS registration process.

Do I need to be registered to operate as an NDIS provider?

Not every NDIS provider must be registered, but registration is mandatory for certain supports and circumstances. This includes supports for participants with NDIA-managed funding, plan management, specialist disability accommodation, specialist behaviour support, use of regulated restrictive practices, Supported Independent Living and NDIS digital platform services. Unregistered providers can provide other supports to self-managed or plan-managed participants.

What is involved in becoming a registered NDIS provider?

The process starts with eligibility and an application to the NDIS Commission. You need to identify the supports you intend to deliver, provide required information and evidence, complete the quality audit specified in your scope of audit, and then wait for the Commission to assess the application and key personnel before making a registration decision.

What is the difference between a verification audit and a certification audit?

The audit type depends on the supports and services in your registration scope. Verification is generally used for lower-risk, lower-complexity supports. Certification is more comprehensive and applies to higher-risk or more complex supports. The NDIS Commission issues the scope of audit that tells you what applies to your application.

How long does NDIS registration take?

There is no reliable one-size-fits-all timeframe. Timing depends on how ready your organisation is, the audit pathway, auditor availability, whether non-conformities need to be addressed, and the Commission assessment. TrainWise focuses on reducing avoidable delays by helping you prepare before key stages of the process.

What changed with mandatory registration in 2026?

From 1 July 2026, Supported Independent Living and NDIS digital platform services became mandatory-registration service areas. Support coordination mandatory registration has been paused. If your services fall within a mandatory-registration area, the current NDIS Commission pathway should be checked before you commence or continue delivery.

Audits & Renewal

Preparation, non-conformities, mid-term audits and registration renewal.

Does TrainWise conduct my NDIS audit?

No. Your independent quality audit must be completed by an approved quality auditor. TrainWise can help with readiness, evidence mapping, practical preparation and remediation before or after the audit.

What happens if an NDIS audit identifies non-conformities?

The auditor records areas that do not meet the relevant Practice Standards. Major non-conformities must be addressed before registration can progress and the NDIS Commission states that a major non-conformity must be fixed within three months. Minor non-conformities also require corrective action, but generally allow more time to resolve.

What is a mid-term audit?

Providers who initially complete a certification audit generally complete a mid-term audit 18 months into the registration period. It is part of maintaining assurance that the provider continues to meet the applicable standards during registration.

When should I start my NDIS registration renewal?

The NDIS Commission allows a provider with a current registration to start renewal in the six months before the registration expiry date. If the renewal process is started before expiry, the current registration remains valid until the Commission makes its decision.

Can TrainWise help after a difficult audit or previous consultant engagement?

Yes. Support can focus on the specific findings, outstanding evidence, corrective actions or system gaps that need to be addressed. The aim is to work from the actual position you are in, not make you repeat work unnecessarily.

Ongoing Compliance

Registration is one point in the provider lifecycle, not the end of compliance work.

Does compliance stop once my NDIS registration is approved?

No. Registered providers have ongoing obligations. Depending on their scope, this can include complaints and incident management, worker screening, reporting, behaviour support requirements, registration conditions, audits and keeping provider information up to date.

Can I add new supports or registration groups later?

Yes. Registered providers can apply to vary their registration to change the classes of supports or services they deliver. Depending on the change, the Commission may require further evidence or an out-of-cycle audit.

Are policies enough to prove compliance?

Policies matter, but practical implementation and evidence matter as well. Audits assess how the relevant Practice Standards are met in the organisation, so documentation needs to connect with real systems, records, worker understanding and service delivery.

Do worker screening requirements apply to every role?

Registered providers must identify risk-assessed roles and make sure workers and key personnel in those roles hold the required NDIS Worker Screening clearance. The requirement is role-based, so providers need a clear process for identifying and recording which roles are risk assessed.

Training & Courses

What is the difference between TrainWise Training and Courses?

Training is hands-on and guided. It can be tailored around a provider, team, service type, audit preparation or operational gap. Courses are self-directed learning completed through the TrainWise course platform at your own pace.

Is NDIS training mandatory for every worker?

There is not one universal TrainWise course that every NDIS worker must complete. Providers are responsible for making sure workers are appropriately trained, competent and supported for the roles and services they perform, and registered providers must meet the Practice Standards that apply to their scope.

Can training be tailored to our organisation?

Yes. Hands-on Training can be scoped around the provider, roles involved and the issues that need to be understood or applied, such as Practice Standards, incidents and complaints, governance, audit readiness or operational responsibilities.

Where do I access TrainWise Courses?

The Courses page explains the self-directed learning pathway. Purchased courses and account access are handled through the TrainWise course platform using the Course Login button in the header.

Are TrainWise Courses nationally recognised or accredited training?

Accreditation and recognition will be stated on the relevant course page where applicable. Do not assume a course is nationally recognised training unless that course is explicitly described that way.

Aged Care

A separate registration framework with its own categories, standards and assessment requirements.

Who needs to register as an aged care provider?

Under the Aged Care Act 2024, providers delivering Australian Government-funded aged care services must be registered with the Aged Care Quality and Safety Commission in one or more registration categories that match the services they intend to deliver.

How many aged care registration categories are there?

There are six provider registration categories, covering home and community services, assistive technology and home modifications, advisory and support services, personal and care support, nursing and transition care, and residential care.

Will every aged care registration application require an audit?

Not every category follows the same assessment pathway. The Aged Care Quality and Safety Commission states that applications for categories 4, 5 and 6 include an audit against the strengthened Aged Care Quality Standards as part of the registration assessment.

Is aged care registration the same as NDIS registration?

No. They are separate regulatory systems with different registration categories, regulators, obligations and audit arrangements. TrainWise keeps Aged Care as its own support pathway rather than treating it as another NDIS service.

Can TrainWise help with ongoing aged care compliance as well as registration?

Yes. Support can include registration readiness, governance, systems and evidence preparation, Quality Standards alignment where relevant, and practical compliance work after registration, depending on your service model and scope.
